1K a year CONFIDENTIAL ASSISTANT TO THE MAYOR The City of Passaic is seeking a full-time, responsible Confidential Assistant to the Mayor to perform a variety of complex administrative functions, including but not limited to, providing support to the Mayor's office, assisting in daily office needs and managing administrative staff and activities.
Candidate will serve as the vital link between the Mayor and everyday operations.
Candidate will represent the Office of the Mayor in an official capacity as required and serve as a liaison for the Office of the Mayor to local community groups, and county and state agencies.
The Confidential Aide shall serve at the pleasure of the Mayor and continue in such position in the sole discretion of the Mayor, who may suspend and/or discharge the Confidential Aide without cause.
Duties and
Responsibilities:
Respond to incoming phone calls for the Mayor; Prepare administrative correspondence, memoranda and statements on behalf of the Mayor's office; Organize and schedule appointments; Plan meetings and manage calendar; Attend ceremonies, events, and Council meetings; Coordinates appointments to boards and commissions; Leads meetings in the absence of the Mayor; Analyzes existing City social media pages and website for information effectiveness; Creates and evaluates posts for existing City social media pages and website; Work cooperatively with elected officials, department heads and City professionals; Oversees all departments under the jurisdiction of the Mayor's office; Supervises, works collaboratively and communicates with all-level staff members, providing project management and implementing strategic planning processes; Assist in evaluating plans or proposals by performing research and review of materials; Assist in researching and drafting effective policies and procedures; Plans, organizes and directs research studies related to existing and proposed legislation, policies and programming; Directs the maintenance of essential and confidential records, reports and files; Receives, investigates and answers sensitive inquiries from citizens and works to resolve complaints; Provides friendly and prompt customer service to the public; Receive citizen feedback and questions and refer to appropriate City officials for resolution; Any and all other duties as directed by the Mayor.
Qualifications for the Position:
Graduation from an accredited college or university with a Bachelor's degree and a minimum of five (5) years experience in the capacity of a Chief of Staff or Executive Aide to an executive or Administrative Officer in a public or private organization.
A Master's degree in Public or Business Administration is not required, but preferred.
The Master's degree in Public or Business Administration or related field may substitute for one (1) year of experience; Bilingual English/Spanish preferred, but not required; Proficiency in MS Office (MS Excel, Publisher and Word); Knowledge of municipal finance and budgeting; Knowledge of photography and video editing; Ability to work with graphic design software; Ability to work nights and/or weekends as required; Ability to maintain confidential and/or sensitive information and handle such matters in a trustworthy manner; Ability to understand, remember and carry out oral and written directions; Ability to organize assigned work and develop effective work methods; Ability to identify and resolve problems in the administration or coordination of programs, plans, or projects; Ability to follow-up and ensure all initiatives and projects are executed in an efficient and timely manner; Ability to work with accuracy and speed in a customer driven environment; Ability to work in a team-oriented environment with the ability to develop and maintain cooperative working relationships; Ability to deal effectively and professionally with the general public, other City employees including management and State/Local officials in a pleasant, tactful, professional and efficient manner; Strong organizational skills, problem-solving skills and time management skills and the ability to multi-task; Excellent written and verbal communication skills; Self-motivated, detail-oriented, and able to function efficiently within a fast-paced environment.
